Artwork Upload Criteria and Publication Standards

This document is binding for all artist profiles published on Collecist. An artist who creates a profile is deemed to have read and accepted the following conditions.

Collecist establishes a space between artist and collector that is free of intermediaries and commissions. The value of this space is directly proportional to the quality of the works it hosts. The platform is obligated to ensure that every profile it represents maintains a standard above a certain threshold.

For this reason, the following criteria are not advisory in nature. If they are not met, removal from publication and suspension proceedings will be applied to the profile and artworks.

I. Mandatory Conditions for Publication

1. Artwork Images

A minimum of 10 artwork images must be uploaded for the profile to be published. For the right to create a 3D exhibition, this number must be completed to at least 20 artworks.

2. Artist Statement

At least 1 text must be added. This text must be a statement of 400–800 characters in length that conveys the artist's intent, production line, or the context in which they work. Copied, auto-generated, or content-free filler texts will not be accepted.

3. Artwork Descriptions

Technical information (material, dimensions, date, technique) and a brief content description must be entered completely for each artwork. The collector's ability to form a meaningful connection with the work and to make a sound decision regarding purchase or exhibition depends on this field. Incomplete artwork information not only weakens the impact of the profile; it also prevents the artwork from being displayed in showcase areas.

4. Profile Photo and Background Image

A profile photo representing the artist and a wall/background image to be used on the profile page must be uploaded. Both images must be prepared with a strong sense of composition. The portrait image must not contain any brand, logo, symbol, watermark, or promotional element other than the artist.

5. Technical Quality of Artwork Images

Images must be carefully photographed. The artwork must be photographed flat and from the front, with correct framing; the frame must not appear in the image. The background, backdrop, or any compositional elements outside the artwork must not be visible in the frame. Creasing, unbalanced lighting, incorrect exposure, perspective distortion, or low resolution will not be accepted.

Additionally, the following images will be rejected outright:

–      Images containing a watermark, signature stamp, date stamp, or off-platform link.

–      Records that are screenshots, catalog scans, or cropped from another image.

–      Edits that misrepresent the color, texture, or dimensional proportions of the artwork.

–      Use of promotional images taken in a space, on a wall, or together with a person as the main artwork image.

6. Originality of Artwork and Ownership of Rights

It is accepted that the intellectual and industrial property rights of every uploaded artwork belong to the artist. Uploading another person's artwork, design, or photograph as one's own work; unauthorized reproduction of a copyright-protected work; or presenting a copy of a recognized piece as an original artwork constitutes a serious violation.

Works produced by artificial intelligence or developed with the assistance of artificial intelligence may not be published unless this is explicitly stated in the description field.

7. Accuracy of Artwork Information

Information regarding dimensions, materials, year of production, edition size, and price must accurately reflect reality. Continuing to list a sold artwork as available for sale, listing the same artwork multiple times under different records, or declaring an edition size different from what was actually produced is considered a misleading statement to the collector.

8. Communication Obligation

The artist is obligated to respond within a reasonable time to collector inquiries submitted through the platform and to information requests from the Collecist team. Unanswered sales inquiries directly affect the credibility of the platform.

9. Content Compliance

No artwork, text, or image containing hate speech, targeting individuals, violating personal rights, or containing illegal content may be published. Content falling within this scope will be removed without waiting for a warning.

II. Conditions for Opening a 3D Exhibition

In order to create a 3D (three-dimensional) virtual exhibition, all of the following conditions must be met without exception:

–      The exhibition must include at least 20 artworks.

–      Each artwork must be photographed in accordance with the technical quality standards specified above: flat and front-facing shot, correct framing, balanced lighting, sharp image; the frame, background, or external elements must not enter the frame.

–      The description field of each artwork must be fully completed (material, dimensions, date, technique, and content information).

–      A poster image for the exhibition must have been prepared and uploaded.

–      The name of the exhibition must be clearly displayed on the poster.

If any of these conditions are not met, access to the 3D exhibition creation feature will not be granted. If the conditions of an already published 3D exhibition are subsequently violated, the exhibition will be closed to access until corrections are made.

III. Actions to Be Taken in Case of Non-Compliance

The following actions will be applied to profiles found to be in non-compliance with the criteria. These actions are progressive; however, any stage may be skipped depending on the severity of the violation.

1. Notification and Correction Period

The artist in whom a deficiency is identified will be notified in writing via the email address registered on their profile. The deficient items will be clearly stated in the notification, and a period of 14 (fourteen) days will be granted for correction.

2. Removal from Showcase

If no correction is made by the end of the given period, the profile will be removed from all showcase areas, including the homepage and discover section, and will not be included in editorial selections or campaigns.

3. Setting to Draft Status

If no correction is made, the profile will be set to "draft" status. At this stage, the profile and artworks cannot be viewed by visitors and no purchase transaction can be initiated. The artist may continue to access their content and make corrections through the panel.

5. Cases Requiring Immediate Suspension

In the following cases, the account will be suspended directly without waiting for notification and a correction period:

–      Uploading another person's artwork as one's own or copyright infringement.

–      Misleading statements in artwork information or ownership of rights that deceive the collector.

–      Sharing contact information or links for the purpose of redirecting the sales process off the platform.

–      Hate speech, targeting of individuals, or illegal content.

–      Behaviors that abuse the platform's operations (fake accounts, fraudulent transactions, automated content uploading).
